The NH Hickory Open (“we,” “our,” or “us”) respects your privacy. This Privacy Policy explains what information we collect, how we use it, and how we handle it in connection with tournament registration and participation.

When you register for the tournament, we may collect:
- First and last name
- Email address
- Phone number
- Age at the time of the tournament
- Gender (male or female)
- Hickory handicap
- Modern handicap
- Home state and hometown
- Lake Sunapee Country Club membership status
- Tournament registration details (e.g., division, year, payment status)
We do not collect your date of birth or payment instrument details (card numbers, account numbers, etc.).
We also automatically collect limited technical information through our hosting provider — including IP address, browser type, and access times — for security and operational purposes. We do not use third-party analytics or advertising trackers.
3. Cookies
We use essential cookies only, for authentication and basic site functionality. We do not use tracking or advertising cookies.
4. How We Use Your Information
We use your information to:
- Process and manage tournament registrations
- Communicate with you about the event
- Organize pairings, divisions, and scoring
- Send registration confirmation emails
- Send tournament-related update emails (e.g., schedule changes, results, and other notices about the event)
We do not use your information for automated marketing or promotional emails outside the context of the tournament.
5. Public Information
With your consent during registration, we may publish limited participant information, including:
- Name (e.g., first initial and last name)
- Home state
- Tournament scores and results
The “permission to publish” checkbox on the registration form controls this. If you have not opted out during registration, the above may appear on the website and in tournament materials.
6. Event Photography
Photographs may be taken during the tournament and used on the website or in related materials to document and share the event.
By participating in the tournament, you acknowledge that you may appear in event photography. If you prefer not to be photographed, please notify the event organizer in advance.
7. Payments
Tournament payments may be completed through third-party services (such as PayPal or Zelle). We do not collect, store, or process payment instrument details directly. We do track whether your payment has been received, but we do not collect or store payment instrument details (card numbers, account information, etc.).
8. Data Storage and Security
Your information is stored using the following service providers:
- Supabase — database hosting and authentication
- Vercel — web application hosting
- Resend — transactional email delivery
We use reasonable safeguards to protect your information. However, no method of transmission over the Internet is completely secure.
9. Data Sharing
We do not sell or rent your personal information.
We may share information only:
- With the service providers listed in Section 8 (Supabase, Vercel, and Resend), as necessary to operate the website, store your registration, and deliver tournament emails
- If required by law
10. Data Retention
We retain participant information indefinitely for tournament operations, historical results, and future event organization. You may request deletion of your information at any time (see Section 12).
When you request deletion, we will mark your registration as removed within a reasonable time (typically within 14 days). Full deletion from our active systems and routine database backups may take up to 90 days. After deletion, limited records may be retained where required by law or to maintain historical tournament results in aggregate (anonymized) form.
11. Minors
Minors may participate in the tournament. By registering a minor, a parent or guardian consents to the collection and use of that participant’s information as described in this policy.
We do not knowingly collect personal information from children under 13 except as part of a registration submitted by a parent or guardian.

You may request to:
- Access your information
- Correct your information
- Request deletion of your information (subject to the retention notes in Section 10)
- Opt out of tournament update emails at any time. Confirmation and registration-management emails are operationally required and cannot be opted out of without canceling your registration.

13. Changes to This Policy
We may update this Privacy Policy from time to time. Updates will be posted on this page. Material changes will be communicated to registered participants via email.
